Reporting administratively to the Regional Manager and functionally to the Senior Administration Officer, the job holder will be responsible for coordinating front-desk activities, including distributing correspondence and redirecting phone calls and operating the switchboard to answer, screen and forward calls, providing information, taking messages and scheduling appointments by:
a) Providing front desk reception duties which include handling of all phone calls and managing internal and external customers timely and professionally;
b) Providing customer information services by providing required information, corporate publications brochure’s and fliers;
c) Receiving and directing customers comprising of visitors, suppliers, stakeholders and the general public;
d) Maintaining office security by following safety procedures and controlling access via the reception desk;
e) Receiving all organization related mails and parcels that are hand delivered and forwarding them for action;
f) Maintaining a log of official visitors by ensuring the visitor book is available and is kept up to date at all times;
g) Undertaking clerical/ general office duties, including correspondence, emails, filing and photocopying;
h) Ensuring records and files are stored and retrieved efficiently.

In the execution of this assignment, the Assistant Customer Service Officer (Receptionist) will be expected to ensure and uphold exemplary corporate Governance in line with the organization’s core values and promote a robust performance-driven culture.

a) Academic and Professional Qualifications
Candidates must have the following qualifications: –
· Diploma in Public Relations, Customer Care, Customer Service or any other relevant field from an institution recognized in Kenya;

b) Related Job Experience
· Must have at least three (3) years relevant work experience.

c) Knowledge Skills and Competencies
The candidate must possess the following skills and competencies: –
(i) Demonstrable knowledge of the Energy Sector in Kenya;
(ii) Meet the provisions of Chapter Six of the Constitution of Kenya;
(iii) Excellent Communication and Interpersonal skills.

Terms of Service
The appointment will be for a contractual term of one (1) year.
