Job Specification:
• Receive and attend to visitors
• Promptly and courteously, receive, direct and relay telephone messages to the appropriate recipients
• Manage record keeping and the general office layout
• Manage and control office general supplies and stationery
• Coordinate office equipment purchases, repairs and maintenance 6 Timeously manage and communicate audit itinerary, flight bookings and other logistical requirements
• Control the process of printing and issuing certificates to clients in conjunction with the IT office
• Supervise the office messenger, drivers, and cleaning staff
• Manage the diary of the MD and organize management meetings 10 Assist in making procurement decisions as part of the tender committee
• Assist with documentation tasks such as printing, photocopying, scanning and filing
• Maintain the front office filing system
• Receive documents and other office deliveries and ensure they reach the intended recipients
• Maintain an updated contacts database that can be easily accessed
• Any other related duties assigned by management
Do You Possess the following:
• A minimum of a Bachelor’s Degree in Business Management, Business Administration, or a related field from a reputable academic institution
• A minimum of 3 years proven working experience in a similar position in a busy office environment with special emphasis on a multicultural working environment.
• Experience in planning of logistics.
• Good command of English and Swahili languages, Proficiency in French will be an added advantage
• Experience in basic bookkeeping and marketing in a customer-facing role.
