Applications are invited from qualified candidates for the above position based in Nairobi Kenya. The position holder will report to the Coordinator, Medical Information and Records Department.
Job Purpose:
Responsible for receiving, indexing, coding and processing a high volume of medical records retrieval requests and any other functions assigned by the Coordinator or Manager.
Responsibilities:
Ensures that all necessary health/administrative information is integrated into the computer system
Attend to client inquiries and requests for medical records promptly thus ensuring information becomes available for patient care in a timely manner
Retrieve scheduled and un-scheduled patients’ records for patient care (appointments, follow-ups, procedures, etc.,)
Check out and check in medical records to authorized personnel/clients
Coding and indexing patient records received in the department; while updating patients’ index data in the computer database. Sort loose medical records and documents received daily; then index materials accordingly, on a timely basis and within the established guidelines
Follow up on overdue medical records
Update the record request log/database of checked-in and checked-out medical records
Maintain the individual patient records and re-file the medical records on open shelving units of the Central File Room
Participate in records disposal and destruction process
Directly responsible for pulling and retrieving medical records for other indirect patient care services, i.e., research, quality management, audit, external medical peer reviews, utilization review, etc.
Ensure a properly coordinated record transfer, record follow-up, and record indexing functions with clinical and administrative team members
Participate in various QA processes including processing discharged patients’ medical records as per the prescribed procedure.
Re-analyzing charts for the completion of deficiencies: updating the incomplete record status
Review of patient records to capture deficiencies to facilitate research, education, and administrative planning
Participate in internal audits to ensure high quality of production in all stations in MIRD
Full support to the department on all assigned projects to ensure compliance and high level of customer service to clients
Requirements:
Diploma in Information/ Records Management
ICT Certificate
KCSE mean grade of C or equivalent
Minimum of 2 years work experience in records management services preferably in a hospital set-up.
Proficient in MS Office Applications
Able to work under pressure to meet strict deadlines
Ability to multi-task
Highly organized with attention to detail and accuracy
Effective communication and customer service skills
Must be able to follow instructions
Able to work in a team and also independently
Ability to adhere to all confidentiality policies and procedures in the performance of duties
Excellent telephone handling skills
Good grooming and self-presentation
