POSITION: ASSISTANT OFFICE ADMINISTRATOR I - CPSB 09 ‘K’ (3 POSTS)
Basic Salary: Kshs. 38,270 x 1,470 – 39,740 x 1,520 – 41,260 x 1,710 - 42,970 x 1,920 – 44,890 x 2,000
– 46,890x2,110 -49,000x2,170 – 51,170 p.m.
Duties and Responsibilities
a) Take oral dictation;
b) Manage e-office;
c) Word and data processing;
d) Operate office equipment;
e) Attend to visitors/clients;
f) Handle telephone calls and appointments;
g) Maintain office diary and travel itineraries;
h) Ensure security of office records,
i) Equipment and documents including classified materials;
j) Prepare responses to simple routine correspondences;
k) Establish and monitor procedures for record keeping of correspondences and file
movements;

l) Maintain an up to date filing system in the office;
m) Ensure security, integrity and confidentiality of data;
n) Manage office protocol and etiquette;
o) Supervise office cleanliness; and
p) Manage petty cash.
Requirements for Appointment
For appointment to this grade, an officer must have:
a) Served in the grade of Assistant Office Administrator II or Office Administrative Assistant I,
Job Group CPSB 10/’J’ for a minimumperiod of three (3) years; and
b) Diploma in Secretarial Studies from the Kenya National Examinations Council.
OR
a) Business Education Single and Group Certificates (BES & GC) Stages I, II and III from the Kenya
National Examinations Council in the following subjects:
i. Shorthand III (minimum 100 w.p.m.);
ii. Typewriting III (50 w.p.m)/Computerized Document Processing III;
iii. Business English III/Communications II;
iv. Commerce II;
v. Office Practice II;
vi. Office Management III/Office Administration and Management III; and
vii. Secretarial Duties II.
b) Certificate in Public Relations and Customer Care course lasting not Less than two (2) weeks
from the Kenya School of Government or any other recognized institution;
c) Certificate in Computer Applications from a recognized institution; and
d) Shown merit and ability as reflected in work performance and results.
