Job Description

Welthungerhilfe is one of the largest private aid organizations in Germany, with no political or religious affiliation. It was founded in 1962 under the umbrella of the UN Food and Agriculture Organization (FAO). At that time, it was the German section of the ‘Freedom from Hunger Campaign’, one of the first global initiatives for the fight against hunger. Welthungerhilfe works under the leadership of an honorary board and the patronage of the German Federal President. We provide integrated aid: from rapid disaster relief to long-term development cooperation projects. Welthungerhilfe in Kenya implements a range of activities including: (i) Water Sanitation and Hygiene, (ii) Agriculture and Natural Resource Management, (iii) Disaster Risk Management and Climate Change Adaptation, and
(iv) Social Development and Education.
We are currently looking for qualified personnel to fill the position of Office Administrator,
for a fixed term period of one year to be based at our country office in Nairobi.

Position’s objective:
To support Human Resource function as well as finance related functions
Human Resource Management related tasks:
• Creating new personal staff files in the prescribed format
• Assisting with recruitment and selection process up to and including reference
checks.
• Assisting in audit preparation
• Maintains/updates leave records of CO based staff
• Oversee the completion of benefit documentations eg medical insurance forms and
pension scheme forms.
• Performs staff orientations
• Produce and submit monthly reports on medical cover validities.
• Replaces Human Resource Manager during her absence
• Keep up-to-date with the latest HR trends and best practices.

Finance related Tasks:
• Petty cash management
• Voucher processing and posting in the accounting system
• Maintaining an accurate and up to date cashbook
• Assist in planning of internal and external audits
• Processing payments to vendors, suppliers and service providers
• Preparation, review and dispatch of payments documents to the relevant field
locations
• Procurement and tendering supporting

To qualify as an Office Administrator, the candidate must possess the following:
• 3 years of work experience as an office administrator, office assistant or relevant
role
• Bachelors Degree in Business Administration/Management or qualification in a
relevant field from a recognized institution is required,
• Completion of CPA Part II
• Professional training in Human Resource Management studies is desired
• Outstanding communication and interpersonal abilities
• Excellent organizational and leadership skills
• Familiarity with office management procedures and basic accounting principles
• Excellent knowledge of MS Office and office management software
