POSITION: SENIOR ASSISTANT DIRECTOR, RECORDS MANAGEMENT - JOB GROUP CPSB 04 ‘Q’
(1 POST)
Basic Salary: Kshs. 99,900 x 5,010 – 104,910 x 5,240 – 110,150 x 5,550 -115,650 x 5,780 – 121,430 x
6,070 – 127,500 x 6,370 – 133,870p.m.
Duties and Responsibilities
a) Initiate, develop and implement Records Management policies and procedures;
b) Lead in development and implementation of the Records Management Strategy in the
County;
c) Provide a framework to guide staff in the management and use of the departmental records
systems;
d) Prepare budget estimates and work plans for registries to ensure adequate allocation of
resources;
e) Develop and implement sound security of information and records to safeguard private and
confidential data of the County;
f) Coordinate the provision of efficient and effective management of registry services;
g) Provide leadership in training, capacity building, mentoring and coaching of Directorate staff
to inspire and motivate them;
h) Sensitize Staff on creation and management of records management systems;
i) Custodian of County Government records;
j) Design and develop digital filing system and efficient records retrieval systems in the county;
k) Ensure compliance with relevant legislations and regulations; and
l) Liaise with Kenya National Archives and Documentation Services on Appraisal and disposal
of records.
Requirement for Appointment
For appointment in to this grade, an officer must have: -
a) Served in the grade of Assistant Director, Record Management, Job group CPSB05/‘P’ in the
Public Service, for a minimum period of three (3) years or in a comparable and equivalent
position in the wider Public Service or Private Sector;
b) Bachelor’s degree in Information Science, Records Management or its equivalent from a
university recognized in Kenya;
c) Master’s degree in Records and Archives Management or its equivalent from a university
recognized in Kenya;
d) Membership of Kenya Association of Records Managers and Archives (KARMA) or an
equivalent professional body; and
e) Certificate in Strategic Leadership Development Programme (SLDP) lasting not less than six
(6) weeks from a recognized institution.
